Red Hot Best Bash Set Up for Restaurants, Wineries and Breweries
Thursday, May 17th 5:30-9 pm
Third floor of the Turtle Creek Casino & Hotel
Please confirm your participation by April 13th, 2012.
General:

Please tell me what you’re bringing so we can promote it.

Participating restaurants will get an additional complimentary ticket to the Bash for the staffer at the table.

Food & beverage prep may begin anytime after 2:00 pm on Thursday, May 17. Please be set up by 5:00.

Please enter Turtle Creek through the hotel entrance, closest to Hwy. 72.

You may bring as much help as you need for set up, however, at 5:30 everyone on the floor must be a credentialed staffer.

We will provide you with a small placard stating which category you won.

Feel free to decorate your six-foot skirted table in whatever way fits your establishment or our theme (Red Hot Best). If you're bringing displays, please make sure they are free standing ones that will fit behind you at the table, can be clipped to the table's skirt or sit upon the table while you're serving. We are not allowed to tape or hang banners on the Ballroom walls. We will also have some food tables in Level 111 Lounge where we also cannot hang any banners. Please also consider offering guests a reason to visit your establishment early in the season. Perhaps an invitation for an appetizer or a free dessert if they visit before June 15th? If you give us these flyers by noon on Monday, May 14th we will include them in all partygoers’ goodie bags.

Please be sure to bring your own serving supplies: plates, napkins, utensils, paper cups.
There will NOT be a presentation at the Bash. We expect people to be walking about, looking at the winners’ plaques, tasting food offerings and sampling beverages. There will be music, food and beverages all over the third floor.

Restaurant Logistics:

There is a prep kitchen behind the ballroom. Photos of that space are included.

If you need electricity please let me know.

We will provide you with a 6 foot skirted table to present your Red Hot Best item. If you’re serving something different than your category, that’s okay.

Turtle Creek can provide you with ice, please let me know in advance how much you will need.

If you are dropping off trays of food without staff to hand out the goodies, please provide us with your display as well. Your contact on our team is Lindsey Perry. Please make sure she knows how you’d like your food displayed.

Beverage Logistics:
Please ask your distributor to contact MyNorth Media to let us know what you are bringing, if your distributor hasn’t already had that conversation with you. You must do this by April 13th.

Order Process
MyNorth will provide Turtle Creek with an order to be facilitated through your distributor. Before the party Turtle Creek will invoice Traverse Magazine for the cost of beverages. In turn your distributor will purchase a sponsorship (in the amount of the invoice) from Traverse Magazine on your behalf.
Delivery Process
Wine, beer and all beverages are to be shipped to Turtle Creek, and Turtle Creek staff will deliver them to your table.
Large quantities of ice are available from the hotel. We will plan on each beverage table requiring a large bin of ice. If you need more than that, please let me know.
Serving

MyNorth will provide guests with 6 tickets; one ticket for a half serving

Everyone under 21 will have a bracelet. Hotel security will keep an eye on consumption as well, but please practice the same scrutiny at Turtle Creek that you would on your own property. We want everyone to celebrate responsibly.

Last year we had 7 companies providing beverages, we expect a similar amount this year.

Our Griffin beer sponsor will again be providing beer. Their tables will be interspersed in the ballroom and Level 111 Lounge.

Some wineries may be serving in the Level 111 Lounge.

Alcoholic beverages will be consumed in controlled areas: Ballroom, Level 111 Lounge.
